Core concepts
The few ideas everything else builds on, and the jobs that run in the background.
The building blocks
| Concept | What it is |
|---|---|
| Account | One Gmail address. Each one gets its own private database, so two people never see each other's data, chats or settings. |
| Prospect | Someone you plan to email, or already have. Has a status: New, Contacted or Replied. |
| Template | A reusable subject and body with {{placeholders}} filled per person and [[blanks]] you fill by hand. |
| Draft | An email to one prospect. Every save is a new version; only a saved version can be sent. |
| Thread | A conversation in Gmail. Follow-ups are sent as replies in the same thread; follow-up limits count per thread. |
| Reply / bounce | Messages that came back in a thread the app started. Bounces block the address from then on. |
| Suppression list | Opted-out and bounced addresses. Sending to them is blocked everywhere, permanently. |
| Campaign | A group of leads, one approved email each, sent in batches by shared rules. See Campaigns. |
What runs in the background
While the backend is running, a scheduler does the timed work. Nothing here sends anything you haven't approved.
| Job | How often |
|---|---|
| Check Gmail for replies and bounces | Every 15 minutes, and when you return to the tab after 2+ minutes |
| Send drafts you scheduled | Every minute |
| Send the next batch of active campaigns | Every minute, inside each campaign's window and daily limit |
| Send due follow-ups (if automatic follow-ups are on) | Every minute |
| Prepare follow-up drafts (if automatic follow-ups are off) | Every hour |
